RinkNotes has a small set of roles. Access always follows the rule that a person only sees what their role allows — and parents only ever see their own child.

How to think about it

  • Head coach — created the team (or was handed it). Full capture and review, including the final confirm on every note. Manages the roster and consent.
  • Assistant coach — captures notes and does the first review pass before the head coach confirms.
  • Staff — flexible; you choose their capture and review access when you invite them.
  • Parent volunteer — a helper who can capture notes during a game or practice but cannot see any player’s outputs. This keeps one family from reading another’s feedback.
  • Parent — not a staff role. Sees only their own child, on their own parent page, and controls consent for that child.

Team Admin

The roles above are per team. Team Admin is a club-level capability, held by a head coach, that governs the club as a whole rather than a single team’s roster:
  • Create additional teams under the club (Settings → Create another team).
  • Grant Team Admin to another person in the club so they can create teams too.
  • Revoke it from someone who no longer needs it.
Delegation is one level deep: someone you grant Team Admin to can create teams, but can’t pass Team Admin on to others. Team Admin is about managing teams and access — it doesn’t change who can see player feedback, which always follows the per-team roles above.
